A record around the communication
Registered email describes services that add records or evidence to an email delivery process. The exact capabilities differ between providers. The label alone does not establish what was captured or how the record can be verified.
Ask what the record actually shows
Confirm whether the record includes the message body, attachments, recipient addresses, relevant timestamps and the receiving system’s responses. Ask how integrity can be checked and whether the original record remains useful outside the service.
Understand each event
Sent, accepted, delivered and opened can describe different events. Ask the provider to explain each status, including limitations introduced by mail servers, filtering systems, automated scanners and recipient settings.
Keep the original
Retain original electronic files and records in your approved records system. Keep relevant contracts, authorisations and any follow-up correspondence with them. Do not assume that a screenshot preserves every technical detail.
